Terms of service

These terms govern the services and website of Amber Linguistics. We wrote them in plain English on purpose. If anything here is unclear, ask us before you order, and we will explain it plainly too.
1. Who we are
Amber Linguistics is a trading name of Pink Commerce Ltd, a company registered in England and Wales under company number 15562017. Registered office: Suite 206, Britannia House, 11 Glenthorne Road, London, W6 0LH. VAT registration number GB510141068.
You can contact us at hello@amberlinguistics.com. In these terms, "we", "us" and "our" mean Pink Commerce Ltd trading as Amber Linguistics; "you" means the person or organisation buying our services.
2. These terms and your contract
A contract is formed when you accept a written quote or pay for an order, whichever happens first. The quote, these terms, and our privacy policy together form the contract. If a signed agreement with a business client says something different, the signed agreement wins.
We may update these terms from time to time. The version on this page at the time you order is the one that applies to your order.
3. Our services
We provide certified translation between Polish and English, interpreting (including legal and safeguarding settings), bilingual family support and advocacy, and language services for employers.
Certified translation means a complete and accurate translation delivered with a signed certificate of accuracy naming the translator and their credentials. It is prepared to the standard generally required by the Home Office, UK courts and tribunals, universities and employers. It is not a Polish sworn translation (tłumaczenie przysięgłe); documents intended for authorities in Poland usually require a sworn translator registered in Poland, and we will tell you honestly if that is what you need.
We use artificial intelligence to produce first drafts and to run our administration. Every translation is reviewed, corrected and certified by a named human linguist before delivery. Nothing is delivered without a human signature.
4. Quotes, orders and payment
Standard documents are priced per page at our published rates. A page is one side of A4 or up to 500 words, whichever is more favourable to you. We confirm the page count and total price before you pay, and that price does not change afterwards.
Payment is due in advance for consumer orders unless we agree otherwise in writing. Business clients may be offered invoicing terms, payable within 14 days of invoice unless agreed otherwise.
Interpreting bookings are confirmed in writing with the date, venue, duration and rate. A minimum booking of three hours applies to legal interpreting. Travel time and mileage are billed as set out in the booking confirmation.
5. Turnaround times
Standard turnaround for certified translation is 48 hours from the point at which we have both cleared payment and legible documents. Express (24 hours) and same day tiers are available at the published uplifts and are confirmed in writing when you order.
If a document turns out to be illegible, incomplete or materially different from what was quoted, the clock pauses while we resolve it with you. If we ever cannot meet a confirmed deadline for reasons within our control, we will tell you as soon as we know and refund any express uplift you paid.
6. Your responsibilities
You are responsible for supplying complete and legible documents, telling us what the translation is for and where it will be submitted, and checking names, dates and reference numbers on delivery. We translate what the document says; we cannot correct errors in the source document, though we will flag anything that looks wrong.
For interpreting bookings, you are responsible for accurate details of the venue, time and nature of the assignment, and for telling us in advance about any special requirements.
7. Cancellations and refunds
Our full cancellation and refund terms, including your statutory rights under the Consumer Contracts Regulations 2013, are set out in our refunds and cancellations policy, which forms part of these terms.
In short: translation work is personalised to your documents, so once work has begun with your agreement, cancellation rights are limited; interpreting bookings cancelled with less than 48 hours' notice incur a fee because the time was reserved for you.
8. Confidentiality
Everything you send us is treated as confidential. We do not discuss your documents or your case with anyone not involved in delivering the service, except where the law requires disclosure (for example, safeguarding obligations or a court order).
Machine processing runs on infrastructure located in the UK or EU. Client documents are never entered into consumer AI tools. Where appropriate, sensitive details are redacted before machine processing. Details of how we handle personal data are in our privacy policy.
9. Accuracy, complaints and corrections
If we make an error in a translation, we will correct it free of charge, at any time. That is the point of certification: someone is accountable.
If you are unhappy with any part of our service, our complaints policy explains how to raise it and how quickly we will respond. Raising a complaint never costs anything and never affects how we treat you.
10. Our liability
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be excluded by law.
Subject to that, our total liability arising from an order is limited to the price paid for that order, and we are not liable for indirect or consequential losses, including missed deadlines of third parties, lost profits or lost opportunities. If a document matters enough that an error could cause a loss far beyond the price of the translation, tell us before you order and we can discuss appropriate arrangements.
11. Intellectual property
You keep all rights in your source documents. On full payment, you own the delivered translation for the purpose it was supplied for. We keep the right to use anonymised terminology (never your documents or personal data) to maintain our term bases.

The content of this website is provided for general information and is not legal advice. We work to keep prices and turnarounds on this site accurate; the figures confirmed in your written quote are the ones that bind us.
13. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction, except that consumers resident elsewhere in the UK keep the protection of their local law and courts.
